ERBUD x MerchUp: how to automate merch in a 1,000+ organization

Merch management in a large organization is an operational activity that includes logistics, warehousing, distribution and ensuring a positive employee experience.

What customers say about us

We had been looking for a long time for a supplier that would not only handle the production of merchandise (there are many such companies), but also manage the entire process, almost like an in-house department. We wanted automation that would free up my team’s time.

We’re pleased that everyone is using this platform. It’s convenient both for us as a merchandise partner and for the ERBUD team, which no longer has to calculate shipments, handle logistics, or store products internally.

Merch management in a large organization it’s an operational activity that includes logistics, warehousing, distribution and ensuring a positive employee experience. ERBUD, one of the largest construction groups in Poland, faced just such a challenge. See how we jointly designed a system that relieves the workload off HR and marketing teams.

Analysis of customer needs and requirements

ERBUD is a distributed organization with hundreds of employees, multiple office locations, construction sites, and highly dynamic projects. At this scale, managing company merchandise cannot be an afterthought; it requires a dedicated system and a partner who takes responsibility for the entire process.

Main challenges:

  • lack of centralization
  • fragmented supplier base
  • manual order processing
  • lack of inventory control
Coordinating how people order and receive what they need, whether for work or personal use, has always been somewhat complicated.

MerchUp (end-to-end) system approach

Together with ERBUD, we implemented an end-to-end approach in which MerchUp is responsible for the entire process:

  • auditing and organizing existing merchandise
  • warehouse management
  • design and production of new products
  • implementation of a dedicated online platform (ERSHOP)
  • order fulfillment and shipping

The result? Merch is no longer an operational burden; it’s a structured system running seamlessly in the background.

ERSHOP: more than a standard merch store

At the heart of the solution is ERSHOP, a platform created by MerchUp and accessible to all users. However, it goes far beyond a typical online store. The system is designed to meet the needs of different user groups within the organization. There is an open view for external audiences, an employee zone with preferential conditions, and an HR panel that simplifies ordering welcome packs to a single click.

This isn’t a typical store with just a sweatshirt and a T-shirt. It also includes unique products, such as a company themed Monopoly game, occasion based sets, a children’s category, and even the ‘Klara Builds’ book series.

What changes when merch becomes a service

In ERBUD’s case, merch has evolved from a series of one-off orders into a stable, predictable process. This reflects a Gifting as a Service model, where everything runs in the background and scales with the organization.

Company Merch - ERBUD

Employees have continuous access to products, the company maintains consistent branding, and the system is ready to grow further. In practical terms, this means less operational busywork and more time for activities that truly drive the organization forward.
